The Reality of Digital Fragmentation

When your tools do not match your workflow, your team fights the systems meant to help them.

Most UK SMEs we meet are stuck in one of three situations. Here is what each one is quietly costing you - and how we fix it.

The SaaS Sprawl Trap

Over the years, you've purchased different software solutions for different needs. Each department bought what they needed. Now you have 15+ subscriptions, nobody knows what everyone is paying for, and 30-40% of your software spending is on tools nobody uses.

The hidden costs

  • Multiple versions of the same data living in Excel, email, SharePoint, and USB drives
  • Duplicate files and version chaos across your shared drives
  • Teams spending hours manually moving data between systems
  • No single source of truth - everyone works from different information

The NexOps Solution: We consolidate your fragmented tools into one unified system. We map your existing data sources, identify redundancies, and build a custom operational platform that connects everything. One source of truth. One integrated workflow.

The Legacy System Dilemma

Some of you are still running on systems implemented 10-15 years ago. Dot-matrix printers. Software that "still works." You avoid change because migration seems expensive and disruptive.

The hidden risks

  • Security vulnerabilities that modern systems have long since patched
  • Decreased productivity from slow, clunky interfaces
  • Inability to attract talent who expect modern tools
  • Maintenance costs that exceed the price of modernisation

The NexOps Solution: Modernisation is more affordable than you think. We build lightweight, custom systems that replace your legacy tools without enterprise price tags. You own the code, you control the timeline, and you start seeing ROI in weeks, not years.

The First System Crossroads

Others are at the point where spreadsheets and email can't handle your volume anymore. You know you need a system, but:

  • You don't know whether to buy off-the-shelf or build custom
  • You're afraid of choosing wrong and wasting money
  • You've heard horror stories about failed implementations

The NexOps Solution: We help you make the right choice. We assess your operation, map your workflow, and advise whether an existing platform fits your needs or if a custom build makes more sense. If you need custom, we build Mini-WMS, operational apps, and workflow portals designed specifically for your business.

The process-first development law

Process First. Technology Second.

We map and optimise your physical workflow before building any system. This ensures the technology accelerates an already efficient operation.

Our approach

  • 1Diagnostic Phase: We analyse your current process, identify bottlenecks, and design the optimised workflow.
  • 2Process Stabilisation: We implement physical changes and verify they work on your live floor.
  • 3Technology Build: Only then do we engineer the digital system to lock in and scale the optimised workflow.

The result: Technology that multiplies your efficiency, not your chaos. Every digital tool acts as a genuine force multiplier for your bottom line.

Where we work

Remote across the UK and worldwide. On-site across Yorkshire.

Web and AI builds are technical work - inputs can be supplied in writing, drafts can be reviewed by screen-share. Most clients never need a site visit. When discovery does need to be on-site (warehouses, clinics, complex shop floors) it is included in the base fee within East Yorkshire and quoted upfront further afield.

On-site, travel included

  • Hull
  • Beverley
  • Goole
  • Pocklington
  • York
  • Howden

Remote delivery

  • Wider Yorkshire (Leeds, Sheffield, Bradford, Doncaster)
  • Across the UK - North England, Midlands, London, Scotland
  • Worldwide for fully remote projects
  • On-site visits available anywhere, quoted upfront with travel itemised

Common questions

What people usually want to know before getting in touch.

I just need a normal website. Do you do that?

Yes. Standard websites for businesses, sole traders, freelancers or anyone who wants a fast, well-built, owned web presence. Single landing pages, multi-page brand sites, portfolios - whatever the scope is. Every build is scoped and quoted per project - tell us what you need for a fixed quote.

Can you build a booking or appointments system?

Yes - custom booking flows for clinics, salons, studios, training providers, workshops, or anyone replacing a monthly SaaS booking subscription. Self-service calendar, automated confirmations, role-based admin views, payment integration if needed. No per-booking fees, no monthly platform bill - you own the system.

I need a warehouse, inventory or stock control system. Can you build one?

Yes. Custom warehouse management, stock control, order tracking, picking and dispatch software designed around the actual physical workflow rather than a generic template. Most builds start with mapping the workflow first (often through an Operational Health Check) so the software locks in a process that already works, not the one the team is fighting.

I run a trade business - can you build job tracking, certificates or scheduling?

Yes. Job tracking, certificate generation, engineer scheduling, quote-to-invoice flow and customer portals for electrical, plumbing, HVAC, fit-out and field service businesses. Mobile-friendly so engineers can use it on site. Our East Yorkshire electrical contractor case study documents this exact scope.

Do I actually own the code? What if I want to walk away?

Yes - source code, database schema and deployment documentation are handed over at completion. You can extend it, audit it, give it to another developer, or hand the codebase to your internal team. No subscription holding the code hostage, no obligation to keep working with me.

What ongoing costs should I expect after launch?

Hosting and domain registration are real costs - you pay them, directly to whichever provider you choose. Typical hosting for a small business site is under £15/month and the domain around £10-15/year. There are no platform fees, no per-user licences, no per-booking charges and no token bills. Optional ongoing support and updates are available as a separate retainer if you want them (scoped to your needs) - but it is genuinely optional, not a hidden requirement.

I am not in Yorkshire - can you still work with me?

Yes - web and AI builds are delivered remotely worldwide. Discovery, design reviews and handover sessions happen via video call or screen-share. On-site visits are available anywhere if it helps, quoted upfront with travel itemised separately.

What is a private AI workspace and would I actually need one?

It is an open-weights large language model running entirely on your own hardware (or a server you control) instead of a public service like ChatGPT. Useful when you need a chat-style AI but your data must not leave your network - typically for clinics handling patient data, accountants handling financial records, law firms, or any business where pasting client information into a public cloud chatbot is a compliance problem. If you do not have that constraint, you probably do not need it - and that is a fine answer.

I am paying for software I do not really use. Can you replace it?

Often, yes. SaaS subscriptions that started cheap then climbed in monthly cost, platforms with features you never use, and tools you only kept because exporting your data is hard - all common starting points. The build replaces what is actually being used in a single owned system. Whether it makes commercial sense depends on the scope, which is what discovery is for.

What kind of systems do you actually build?

Typical builds: a normal business website (we work as your local web developer and website designer if that is all you need), a custom database to replace excel files that have grown unwieldy, a CRM or order management system tailored to your sales flow, a production tracking dashboard for a workshop or factory, a custom portal where suppliers or contractors submit work, internal tools to automate paperwork or automate invoicing, digital forms feeding into a paperless office, an offline AI or private chatbot running on your own machine so secure data never touches a cloud subscription, and stand-alone job tracking apps. The common pattern: you own your software end-to-end, no monthly platform bills sitting on top.
